Progress Photos

Optional user-selected image upload

How FitSphere handles photos:

  • 🖼️ You can choose an existing JPEG, PNG or WebP image to add to a progress entry.
  • 🔒 FitSphere does not request the Android CAMERA permission and does not access a camera in the background.
  • 📤 A selected image is uploaded only after your explicit action and is associated with your account.
  • ⚙️ Photo upload is optional and is not required to use workouts, nutrition, health tracking or AI coaching.

Data retention: Progress photos are stored securely and associated only with your account. You can remove photos from progress records and request account/data deletion. Provider-hosted file and backup erasure may require completion through the deletion/support process described in this policy.

Internet Permission

FitSphere requires internet access to sync account data, generate personalised plans, play exercise videos, process eligible payments, deliver messages, and keep progress backed up. Data is transmitted as described in this policy when you use those features.

Information We Collect

We collect account details and information you choose to provide, including fitness goals, age, body measurements, dietary preferences, health or injury notes, workouts, exercise assessments, meal logs, messages, progress entries, and optional photos. If you choose to connect Apple Health or Health Connect, we also receive only the health categories you grant FitSphere permission to read. We also collect device, security, diagnostic, and product-usage information needed to operate and improve the service.

How We Use Your Information

We use this information to personalise workouts and nutrition guidance, provide coaching and safety controls, process transactions, track progress, prevent abuse, troubleshoot errors, and improve FitSphere. We do not sell personal data.

Connected Health Data

If you choose to connect Apple Health on iPhone or Health Connect on Android, FitSphere requests read-only access to the categories you approve, such as steps, heart rate, resting heart rate, sleep, active calories, weight and body-fat percentage. FitSphere syncs approved values to your FitSphere account so they can appear in Health Tracking and support your progress view. You can decline individual permissions, disconnect FitSphere, or revoke access in Apple Health or Health Connect settings. FitSphere does not write health records back to Apple Health or Health Connect, does not use connected health data for advertising, and does not sell it.

Gym & Studio Workspaces

If you join a FitSphere Business gym or studio tenant, that organisation's authorised owners, administrators, managers or assigned trainers may access tenant membership details and the coaching information reasonably needed to provide the gym experience, such as your display name, assigned trainer, plan assignments, progress or messages relevant to coaching. Access is role-based and scoped to that gym tenant. A gym cannot use its FitSphere tenant to browse records from another gym. Gym-funded access may end when the gym subscription or your gym membership ends. White-label apps use the same FitSphere backend and privacy controls unless additional disclosures are shown for that gym.

Data Storage & Security

Your data is stored securely on our servers. We use industry-standard encryption and security practices to protect your personal information. Access to your data is restricted to authorised personnel only.

Third-Party Services

Service providers may process the minimum information needed to provide hosting, authentication, payments, product analytics, plan generation, email, and video playback. Stripe processes eligible consumer web payments and FitSphere Business gym subscriptions. Embedded YouTube videos are provided by Google; when loaded, Google may receive device, network, referral, cookie, and playback information under its own privacy terms. Mobile-store purchases, when offered, are processed by Apple or Google.

Your Rights

You have the right to access, update, or delete your personal data at any time. You can update your profile information within the app or request account deletion via the Profile page. For other requests, contact us at support@fitsphere.app.

Cookies & Tracking

We use essential storage for authentication, preferences, security, and installed-app mode. We may use first-party product analytics and diagnostics to understand feature use and errors. FitSphere does not use this information for cross-app behavioural advertising.

Coach Messaging

FitSphere allows users to exchange messages with verified human trainers or clearly labelled AI coaches. Message content is stored securely and is accessible only to the account holder, the relevant coach service or human trainer, and authorised platform administrators where required for safety, support, or abuse prevention. Messages are not sold to third parties.

Community & Leaderboard

FitSphere includes a community leaderboard where your display name and workout activity (e.g. workouts completed, streaks, points) may be visible to other app users. You can update your display name in your Profile at any time.

Third-Party AI Integrations & Limited Use

When you request generated plans, coaching, exercise instructions, or progress analysis, relevant profile details and your prompt may be sent to contracted AI service providers to produce the requested response. Do not include information that is unnecessary for the request. Provider handling is governed by our agreements and the provider terms applicable to the service. Generated fitness and nutrition content is educational, may contain errors, and must not be treated as diagnosis or medical care.

Age Requirements

FitSphere is intended for users aged 18 years and older. By creating an account, you confirm that you are at least 18 years of age. FitSphere is not directed at children and does not knowingly collect personal information from children under 18. If we learn that a child under 18 has provided us with personal data, we will delete it promptly. Contact us at support@fitsphere.app if you believe a minor's data has been collected.

Challenges & Achievements

FitSphere tracks your participation and completion of fitness challenges, as well as achievements earned. This data is associated with your account and may be displayed on community leaderboards. It is deleted upon account deletion.

Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of significant changes via the app or email. Continued use of FitSphere after changes constitutes your acceptance of the updated policy.
